Automated lead scoring and WhatsApp follow-up for a growing online coaching institute — reducing manual effort by 15 hours/week.
The Problem
A fast-growing online coaching institute was receiving 200+ enquiries per week across WhatsApp, website forms, and Instagram DMs. Their sales team spent 6–8 hours daily manually reading messages, asking the same qualification questions, and copy-pasting replies — causing slow response times and losing warm leads to competitors.
Our Solution
We built a fully automated lead qualification system using n8n and GPT-4o. It captures leads from all sources into a central queue, sends a personalised WhatsApp greeting within 60 seconds of enquiry, conducts a 4-question qualification conversation, scores each lead (0–100), and auto-routes: hot leads to the sales team instantly, warm leads into a nurture sequence, and cold leads into a free resource drip. All data syncs to Google Sheets in real time.
Our Approach
Discovery & Flow Design
Mapped the entire lead journey, identified all entry points, and designed the qualification conversation script with the client's sales head.
n8n Workflow Build
Built the core orchestration in n8n — webhook triggers, conditional routing, API calls to GPT-4o, and Google Sheets sync.
WhatsApp Integration
Connected Meta Cloud API (official), set up AUTHENTICATION + UTILITY message templates, and built the conversation state machine.
AI Prompt Engineering
Crafted and iterated the GPT-4o system prompt to extract structured qualification data from natural conversational replies.
Testing & Launch
End-to-end tested with 50 simulated leads across all entry points. Deployed with live monitoring for 2 weeks post-launch.
