n8n-powered HR onboarding workflow that collapsed a 10-day manual process into under 24 hours — zero missed steps, full audit trail.
The Problem
A mid-sized company hiring 5–10 new employees per month had onboarding spread across 6 departments with no coordination system. New hires regularly arrived on Day 1 with no laptop, no email account, and no desk assignment.
Our Solution
An n8n orchestration workflow where HR submits a single form (name, start date, role, department, manager) and the system auto-generates the offer letter, sends it for DocuSign e-signature, raises IT access requests on signature confirmation, briefs Admin on equipment, sends the new hire a day-by-day schedule via email and WhatsApp, briefs the manager, and tracks all steps in Google Sheets with automated reminders for anything overdue 48h before due date.

Workflow Architecture
Designed the n8n workflow as parallel + sequential steps with conditional branching per department and role type.

Offer letter, IT request, and equipment request templates with dynamic placeholders + DocuSign API integration.
Tracking & Alerts
Google Sheets tracking board with status per department and the automated reminder sub-workflow for overdue steps.
Pilot & Rollout
