End-to-end WhatsApp ordering system for a multi-branch retail business — zero missed orders, 40% more orders handled with the same team.
The Problem
A multi-branch retail business was taking orders over phone calls and regular WhatsApp chats. Orders were frequently missed during busy hours, there was no order tracking for customers, and staff spent 3+ hours daily on order-related messages.
Our Solution
We built a WhatsApp-first ordering system: customers send "Hi" and get an instant catalogue menu, build their cart conversationally by replying with item numbers, receive an order confirmation with order number and ETA, while the branch manager gets an instant WhatsApp alert. A daily sales summary auto-sends to the owner at 8pm. All orders log to Google Sheets for tracking and basic inventory management.

Process Mapping
Observed the current order-taking workflow for 2 days, identifying all friction points and failure modes.
Conversation Design
Designed the WhatsApp conversation flow as a state machine — greeting, catalogue, selection, cart review, confirmation, payment options.
n8n Workflow Build
Built the n8n workflow with Meta Cloud API webhook, conversation state stored per phone number.
Template Approvals
Submitted and got Meta approval for order confirmation (UTILITY) and daily summary (UTILITY) templates.
Staff Training
Trained branch managers and ran a 1-week parallel period before full cutover.
